Review methodology

We score the workflow before we score the software.

A CRM can be excellent and still be the wrong purchase for an agency whose real problem belongs in its AMS, comparative rater or service process.

1. Define the agency job

Each review starts with a specific job: purchased-lead response, outbound prospecting, commercial account development, quote follow-up, renewal-review outreach, referrals or cross-sell. We do not award a generic “best CRM” label without identifying the sales motion.

2. Establish system ownership

WorkTypical owner
Lead source, contact attempts, next action, opportunity stageCRM
Policy detail, endorsement, certificate, carrier download, accountingAMS / insurance system
Quote and rating dataRater, carrier portal or agency-approved tool
Consent, suppression and communication evidenceDocumented across CRM and approved communication systems

Actual ownership varies by agency. The important control is that one system is authoritative for each data class.

3. Score eight dimensions

  1. Lead capture and assignment
  2. Calls, email and SMS workflow
  3. Pipeline and next-action visibility
  4. Automation with human controls
  5. Reporting and data export
  6. Permissions, auditability and security documentation
  7. AMS coexistence and integration options
  8. Total workflow cost, including add-ons and administration

4. Verify claims

Product capabilities, plan limits and prices are checked against current vendor pages or help documentation. Regulatory context uses public sources such as the FCC, FTC and NAIC. We distinguish documented facts from editorial judgment and never turn an affiliate commission into a product score.

5. Require a negative case

Every product review must state who should skip it. A platform loses fit when it creates duplicate entry, requires more administration than the agency can sustain, lacks the needed communication workflow, or is being asked to replace insurance operations it was not designed to own.

6. Recheck before purchase

Vendors change pricing, packaging and capabilities. Readers should confirm current terms, request a workflow-specific demo, test export and permissions, and have their agency’s legal or compliance resources review outreach rules before launch.
